Keeping Up with Open Orders
Weekly, open orders should be checked.
Search Bar: OEIO
Menu: Sales > Inquiry > Order
Bookmark: OEIO – Order Inquiry
- Click <Show More> under Advanced Search.

- Click <Criteria> and check the boxes of fields to use for searching.

- Enter your Warehouse and check stages Ordered and Picked.
- Click <Search>

- A list of orders will result.
- Every order should be valid.
- Suitable reasons why orders have not yet invoiced: the job is on hold, waiting for material before shipping, etc.
- Full investigation should happen for all orders of an unknown status.

- Click on the arrow next to the order to view in more detail.
- The number of records to display can be changed per need. Modification of the Internet browser’s Zoom will also help with this display change. Less Zoom percentage will result in more records displayed. The list will be a smaller font size.
Below are some common orders types that remain in the ordered stage for too long and should be resolved in a timely manner.
1 - Orders with no lines. These are orders were started, possibly in error, and were never cancelled.

2 - Orders where the line(s) on the order were sent to Lost Business, but the order was not cancelled. When the line is cancelled, the whole order should also be cancelled. Cancelling the whole order will cancel the line.

3 - Verify that override requests were submitted for all Warranty Tickets and they were shipped.
Not shipping Warranty Tickets in a timely manner will lead to inventory issues.

Check the Dates screen to see when the Warranty Exchange was entered. It should only take a day or two to be approved.

4 - Research back orders. Verify that the customer still wants the item(s) and/or that the item(s) is/are correct. Check to see that either the inventory is in stock or on order (purchase order or transfer).
5 - Ship any Returns that have been approved.
The customer will not get the credit to their account or credit card until the order has been shipped.
Inventory will not be available until Returns have been invoiced.
