First use the Search Functions to make sure that the customer is not already set up.
You can choose from a recently used Customer by clicking in the Customer box. This will show a short list of recently used customers. You select one by clicking on it.
You can do a simple search by clicking on the magnifying glass in the Customer box.
The easiest way to find a customer not in your recently used list is to use the Advanced Search. Click Show More under Advanced Search.
In the Advanced Search you can set criteria to search for. If the State box is not there, add it by clicking the down arrow in the right side of the Criteria box then check the box next to State. You only need to add it one time. It will remain for your user unless you remove it.
Enter the beginning of custom name in the Customer Name box and their state in the State box
Click Search
Setting up the Customer
Click on New - (If Customer is not already set up)
In the Name box, type the Customer Name in all CAPITAL LETERS. It must be the full name of the customer, that will appear on invoices.
Click Save
The Customer Setup Information screen appears.
All data in this screen should be entered as all CAPITAL letters.
Required fields are ADDRESS, CITY, STATE, ZIP, PHONE.
Name: Do not to change
City, State and Zip: each have their own field and must be entered correctly in each field. DO NOT enter them all in the first box.
If the account does business under a different Name: Enter DBA: and the alternate business name on the first address line.
Fax Number: entered in the format 1 AREA CODE FAX Example: 19143479174
Agent Phone: can be used to enter alternate phone numbers, such as a cell phone.
Purch Agent: should be used to enter a contact name.
Comment: can be used to enter any other relevant information (additional contacts, phone numbers)
Email: should be entered in the correct format somebody@domain.com Example: smith@greengrass.net. There are NO Spaces in email addresses and there is not a www in an email address.
Cust Type: is used to classify our customers for marketing purposes. You can use the Magnifying Glass to search for the appropriate type of customer.
YOU SHOULD NOT CHANGE ANY PRE-POPULATED FIELDS with the exception of the Lookup Name.
HINT: if the business has an alias that makes the account easier to find, enter it in Look-up Name.
